Privacy policy

This policy explains what information Calm Mail (“Calm Mail,” “we,” “us”) collects, how we use it, who we share it with, how long we keep it, and how you can have it deleted. Calm Mail is operated by Cooper Schoenthaler, doing business as Calm Mail. 1. What Calm Mail does

Calm Mail connects to your Gmail account and archives (moves out of your inbox, without deleting) emails that look like clutter, such as promotions and shipping notices. It sends you a daily digest of what it archived, and you can reply to that digest in plain English to change how it works.

2. Information we collect

Information you give us

  • Your email address when you sign up.
  • Billing details, if you add a card, which are collected and stored by our payment processor, Stripe. We don’t store your full card number.
  • Anything you send us when you email for help.

Information from your Gmail account

  • Email details for messages in your inbox: the sender’s name and address, the subject line, and the date. We use these to decide what to archive.
  • Your replies to the Calm Mail digest, including their text, so we can follow your instructions.
  • Labels Calm Mail adds to keep track of its own work (for example, marking an email as already reviewed).

We do not use the body of your other emails or their attachments. Google’s permission allows broader access than we use; we only use what is listed here.

Information we create

  • Your settings, such as senders you always want kept or always want archived.
  • A short record of what was archived (sender, subject, and date) so we can include it in your next digest.
  • Basic technical logs needed to run and fix the service.

3. How we use your information

  • To decide which emails to archive and to archive them.
  • To send you your daily digest and confirm changes you request.
  • To understand and apply your replies to the digest.
  • To bill you, provide support, and keep the service working and secure.

We do not sell your information. We do not use it for advertising. We do not use your Gmail data to train AI models, and we don’t allow our service providers to do so.

Google user data

Calm Mail’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Gmail data only to provide the features described in this policy, and no person at Calm Mail reads your Gmail data unless you ask us to (for example, for support), it is needed for security or to comply with the law.

4. Who we share information with

We share information only with the service providers that make Calm Mail work, and only what each one needs:

  • Composio manages the secure connection to your Google account. It stores the access key Google issues when you connect, and our requests to Gmail pass through it.
  • Anthropic provides Claude, the AI that reviews the sender and subject of emails our rules don’t cover, and reads your replies to the digest.
  • Vercel runs the Calm Mail service and this website, and Supabase stores your settings and digest records.
  • Stripe processes your subscription payments.

We may also share information if required by law, or as part of a sale or merger of the business, in which case this policy would continue to apply to your information.

5. How long we keep information

  • Records of archived emails (sender, subject, date) are kept until they’re included in your digest, then deleted within 30 days.
  • Your settings are kept while your account is active.
  • Technical logs are kept for up to 30 days.
  • Billing records are kept as long as required for tax and accounting purposes.

When your free trial or subscription ends, Calm Mail stops tidying. We keep your settings for a while so you can pick up where you left off if you come back, and we delete your settings, digest records, and Gmail connection 30 days after your free trial or subscription ends. When you choose Delete my data in Settings, we delete them immediately.

6. Your choices and how to delete your data

  • Disconnect anytime from Settings, or by removing Composio from your Google account connections.
  • Delete your data yourself from Settings, or by emailing hi@calmmail.app from the address you connected. Deleting from Settings happens immediately. If you email us instead, we’ll delete your information from Calm Mail, remove your Gmail connection, and confirm by email within 7 days.
  • Ask what we hold about you, or ask us to correct it, by emailing us.

Deleting your Calm Mail data never deletes anything from your Gmail. Archived emails stay in your Gmail’s All Mail.

7. Security

We use reasonable measures to protect your information, including encrypted connections and limiting access to the people and services that need it. No online service can promise perfect security. Calm Mail has not yet completed any formal security audit or certification. If we learn of a security incident affecting your information, we will tell you promptly.

8. Children

Calm Mail is for adults. You must be at least 18 to sign up. Your inbox may contain emails about your children (for example, from school); those are handled the same way as any other email, as described above.

9. Changes to this policy

If we make meaningful changes, we’ll email you before they take effect and update the date at the top of this page.
